CRM for Surveyors

SurvSync’s Client Management system sits at the centre of the platform.

Client management connected to your workflow

It connects with the wider SurvSync workflow, passing information between different areas of the system and keeping client, property and instruction data linked throughout the process.

The CRM also acts as the connection between SurvSync and the Datum Client Portal, allowing relevant client and instruction information to move into the client-facing side of the platform.

Flexible Client Management

Surveyors can choose how much of the CRM they want to use.

SurvSync does not force users to complete every field before they can continue working. The system records as much information as the user chooses to provide without unnecessarily restricting the workflow.

This means practices can use the CRM in a detailed way or keep the process lighter where appropriate.

What is Included in the CRM?

The CRM is built around six main areas.

1. Client Details

Essential client information is stored against the client record, including relevant GDPR information.

2. Property Details

Property information is stored alongside the client and instruction so that the relevant details remain connected throughout the workflow.

3. Instruction Details

The instruction record contains the details of the work being carried out, including:

  • survey services
  • additional services
  • survey price
  • instruction requirements

This keeps the scope and commercial details of the instruction in one place.

4. Communications

Client communications are recorded and stored against the relevant client and instruction.

This provides a clear communication history and helps keep correspondence connected to the work being carried out.

5. Client Documents

Client documents can be created directly within SurvSync and kept together within the relevant instruction.

Documents are stored securely in dedicated cloud storage and remain linked to the correct client and property.

6. Payments

SurvSync supports different ways of recording and requesting payment, depending on how the surveying practice chooses to work.

The system does not require users to follow one fixed invoicing process. A payment can be recorded against the service price, against a SurvSync invoice, or requested through the Datum Client Portal.

Record a Payment Without Creating an Invoice

A surveyor may choose to record the agreed service price without creating an invoice inside SurvSync.

In this case, the system still allows the payment to be recorded against the instruction.

The surveyor can enter details such as:

  • amount paid
  • payment method
  • payment date
  • payment reference

SurvSync will recognise whether the amount represents a full payment or a part payment and will continue to track any outstanding balance against the instruction.

Payments Against a SurvSync Invoice

If an invoice has been created within SurvSync, the invoice becomes the main financial record for that service.

The surveyor can then either:

  • record the payment manually, or
  • generate a secure payment link for the client.

When a payment link is created, SurvSync can prepare an email through the user’s own mailbox with the encrypted payment link already included in the draft.

The surveyor remains in control of the email and can review it before sending.

When the client opens the payment link, they are taken to the Datum Client Portal, where the surveying practice’s branding and organisation logo are displayed.

The client does not need to create a Datum account when using a direct payment link.

Datum handles the payment process through its connection with Stripe.

Payments Through the Datum Client Portal

For practices using Datum, payments can form part of the wider client portal workflow.

The surveyor first invites the client to the portal. SurvSync creates and sends the invitation, allowing the client to create their own secure login.

Once access has been set up, the surveyor can make relevant documents available to the client and request payment through the same portal.

The client can then use Datum to:

  • view the instruction
  • access documents
  • sign documents where required
  • make payments

This creates a more complete client-facing workflow rather than treating payment as a separate process.

SurvSync remains connected to Datum and records the relevant activity back against the instruction, helping the surveyor keep the client, documents, payment status and instruction history together.

Both Datum payment flows require Stripe integration.

Everything Connected to the Instruction

SurvSync keeps the client, property, instruction, payments, communications and documents connected throughout the workflow.

Documents are associated with the correct instruction and can be prepared for sending, while communications can be recorded against the same client record.

This gives the surveyor one place to follow the full history of the instruction rather than having information spread across separate systems.

Datum Client Portal

Datum is a dedicated client-facing portal powered by SurvSync but operated as a separate service.

Surveyors do not log in to Datum in the same way their clients do. Instead, they manage the client relationship from within SurvSync and invite clients to access their own secure Datum space.

This creates a clear separation between the surveyor’s working environment and the client-facing portal.

Client Documents

Surveyors can send documents from SurvSync directly into the client’s Datum area.

Clients can then view and download the documents made available to them.

Where a document requires a signature, such as Terms & Conditions, the client can sign it electronically through Datum.

Datum manages the signing process and returns the completed signed document to the relevant client document area in SurvSync.

Client Payments

Datum also manages the client-facing payment process through its connection with Stripe.

Clients can make payments either through their secure Datum account or through a direct payment link sent by the surveyor.

This allows SurvSync to keep the surveyor’s workflow inside the main platform while Datum handles the client-facing parts of document access, electronic signatures and payments.
